Your Data Is Yours. Getting It Out Should Not Be This Hard.
You have been tracking your workouts for three years. You have 1,400 notes in a note-taking app. You have five years of mood tracking data. You have thousands of health data points recorded by your Apple Watch. This data represents your history, your habits, your health trends, and in many cases, your intellectual property.
Now try to get it out.
For many apps, the answer ranges from “difficult” to “impossible.” Some apps export to proprietary formats that cannot be opened by any other software. Some offer export but only through a web dashboard, not the mobile app. Some have no export function at all, treating your data as their asset rather than yours.
This is not just an inconvenience. Data portability is a fundamental right codified in law, a practical necessity for switching between services, and a safeguard against companies shutting down, changing pricing, or altering their terms of service. A 2024 survey by the Electronic Frontier Foundation found that 34% of app users had lost data when an app was discontinued, and 47% had stayed with an inferior service specifically because switching would mean losing their data.

Your Legal Rights to Data Portability
GDPR: The European Standard That Affects Everyone

Apple’s Built-In Data Export Tools
Apple Account Data
Apple provides a comprehensive data export for your Apple account at privacy.apple.com. Sign in and select “Request a copy of your data.” You can request:

Photos Library
Apple Photos exports through several paths:
- Individual photos: Select and share through the share sheet (AirDrop, email, Files)
- Bulk export on Mac: Select photos in Photos.app, File > Export > Export Unmodified Originals. This preserves full resolution, metadata, and original file formats.
- iCloud data request: The privacy.apple.com export includes your full photo library
Important: Exporting from the Photos app on iPhone applies any edits you have made. To get the original, unedited files, use the Mac app’s “Export Unmodified Originals” option or the iCloud data request.
Notes
Apple Notes can be exported on a per-note basis (share sheet > PDF, text, or other formats) but does not offer a built-in bulk export. For a full Notes export:

Contacts and Calendars

Use cases for Health data export:
- Sharing with a doctor: Export specific metrics (blood pressure, blood glucose, weight) as a CSV that your doctor can review or import into their systems.
- Personal analysis: Export workout data to a spreadsheet and analyze trends, create charts, or identify patterns over time.
- Switching platforms: If you move to a different health platform or want to supplement Apple Health with another service, exported data can be imported elsewhere.
- Backup: Health data export serves as a backup independent of iCloud. If your Apple account were compromised or iCloud data lost, a local export preserves your health history.
What Health Data Includes
A complete Health data export typically contains:
- Activity data (steps, distance, flights climbed, exercise minutes, stand hours)
- Body measurements (weight, height, BMI, body fat percentage)
- Heart data (resting heart rate, walking heart rate, heart rate variability, ECG recordings)
- Sleep analysis (time in bed, sleep stages on supported devices)
- Nutrition data (calorie intake, macronutrients, water consumption)

Finance apps: Banking and budgeting apps typically export transaction data as CSV or QFX (Quicken Financial Exchange) files.
Fitness apps: Strava, Nike Run Club, MyFitnessPal, and similar apps usually export through their web dashboards (not mobile apps). Look for “Download Your Data” or “Account Settings > Data.”
Social media: Instagram, Facebook, Twitter/X, TikTok, and LinkedIn all provide data download options through their web settings. The exports include posts, messages, connections, and activity history.
Apps without Export Functions
For apps that offer no export functionality, several strategies apply:
Screen capture and OCR. As a last resort, you can screenshot your data screen by screen and use OCR to extract text. This is tedious but sometimes the only option. On iPhone, the built-in OCR (Live Text) can select text from screenshots for copying.
Share sheet workarounds. Some apps allow sharing individual items (notes, entries, records) through the share sheet even if they lack a bulk export. You can share items one at a time to a note-taking app, email, or Files.
iCloud sync and file access. Some apps store data in iCloud Drive in accessible folders. On Mac, browse iCloud Drive in Finder and look for app-specific folders. Some apps store data in readable formats (SQLite databases, JSON files, plist files) that can be opened with appropriate tools.
Shortcuts automation. If an app supports Shortcuts actions, you may be able to build an automation that iterates through items and exports them. Many apps expose their data through Shortcuts actions even if they do not have a dedicated export function. Check the Shortcuts app > select the app > see which actions are available.
GDPR/CCPA request. If all else fails, submit a formal data portability request as described above.
Automation with Shortcuts

Automated Backup Shortcuts
Build a Shortcut that runs weekly (triggered by time-of-day automation) and:
- Exports specific app data (through apps that support Shortcuts actions)
- Saves the export to a designated backup folder in iCloud Drive or Files
- Optionally sends a notification confirming the backup completed
Data Format Conversion
Shortcuts can convert between formats:
- CSV to JSON
- Rich text to Markdown
- Images to PDF
- Contacts to CSV
A practical Shortcut: accept any shared content, determine its format, convert it to a standard format (PDF for documents, CSV for data, Markdown for text), and save it to a standardized folder structure.

- Displays a checklist of apps to export
- Opens each app to its export screen
- Tracks which exports have been completed

Data Format Standards: What to Ask For
When exporting data, the format matters as much as the data itself. Some formats are open, portable, and widely supported. Others are proprietary and lock you into specific software.
Preferred Formats
CSV (Comma-Separated Values): The universal data interchange format. Opens in every spreadsheet application, parseable by every programming language, and readable by humans in a text editor. Request CSV for tabular data (transactions, entries, logs, measurements).
JSON (JavaScript Object Notation): The standard for structured data with nested relationships. More expressive than CSV for complex data (records with sub-records, variable fields, hierarchical structures). Widely supported and human-readable.
XML (Extensible Markup Language): Similar to JSON in expressiveness but more verbose. Apple’s Health data export uses XML. Well-supported but less convenient than JSON for most purposes.
vCard (.vcf): The standard for contact information. Supported by virtually every contacts application across all platforms.

Proprietary binary formats: If an app exports only to a format that can be opened by that app alone, the export is functionally useless for portability.

Encrypted exports without keys: Some apps encrypt exports with a key tied to your account. If the app shuts down, you lose the key and your data.
Vendor Lock-In: Recognizing and Avoiding It
Vendor lock-in occurs when switching from one product or service to another is so difficult or costly that the switching cost exceeds the benefit of switching. In the context of iPhone apps, lock-in typically manifests as:
Data Lock-In
Your data is stored in a proprietary format that cannot be exported or is only partially exportable. Even if you find a better app, your historical data cannot move with you.

Behavioral Lock-In
You have built habits, workflows, and muscle memory around a specific app’s interface. Switching means relearning.
Prevention: This type of lock-in is unavoidable and not inherently problematic. Choose apps that do their job well and invest in learning them fully. But maintain your data portability so that if you do decide to switch, the data transition is smooth even if the behavioral transition takes time.
Building a Personal Data Portability Practice
The Quarterly Data Audit
Every three months, spend 30 minutes reviewing your data portability posture:
- List your active apps. Which apps contain data you would not want to lose?
- Test export for each. Can you export your data? In what format? Is the export complete?
- Perform backup exports. Export data from critical apps and store the exports in a designated backup location.
- Review new apps. For any app you have started using since the last audit, test its export functionality.
The Backup Location
Store your data exports in a location that is:
- Under your control (local drive or personal cloud storage, not inside another app)
- Redundant (both local and cloud, or two cloud providers)
- Organized (date-stamped folders:

Apps that score well on these criteria respect your ownership of your data. Apps that score poorly are telling you, through their design choices, that they intend to keep your data even if you leave.

Treating it as a portable asset, regularly backed up and available in open formats, protects you from service discontinuations, price increases, and the simple desire to switch to a better tool when one becomes available.
